Terms of Service

Effective July 7, 2026

The agreement between your business and AdvocatePilot: what the product does, what you pay, and what each side is responsible for.

The agreement

These terms are an agreement between AdvocatePilot and the business that creates a workspace ("you"). By creating an account or using the product, you accept them. If you are accepting for a company, you confirm you have the authority to do that.

What the product is

AdvocatePilot is software for running customer referral programs. It includes referral campaigns, personal advocate links and portal pages, a referral pipeline with qualify and convert steps, fraud signals shown per referral, a reward approval queue with CSV export, reporting, a REST API, and webhooks. Email and SMS sending work through your own SendGrid and Twilio accounts once connected.

We improve the product continuously. Features may change, but we won't remove a capability your plan depends on without reasonable notice.

Your account

Keep your login credentials safe and your account information accurate. You are responsible for what happens under your workspace, including what your team members do in it. Tell us promptly if you believe your account has been compromised.

Plans and billing

Paid plans are billed monthly through Stripe's hosted checkout at the prices shown on the pricing page. You can change plans at any time; changes take effect on the next billing cycle unless Stripe prorates them.

You can cancel at any time. Cancellation stops future charges and the plan stays active until the end of the paid period. We don't refund partial months.

If a payment fails, we will retry it and email you. If it keeps failing, we may suspend the workspace until billing is fixed.

Acceptable use

Referral programs run on other people's contact details, so this section matters:

  • Only submit or import contact details you have permission to use.
  • Follow the laws that apply to your messages, including email and SMS consent and opt-out rules in your customers' regions.
  • Don't use the product to send spam, run deceptive promotions, or create fake referrals.
  • Don't probe, overload, or interfere with the service, or use it to build a competing data set.
  • Rewards you promise to your advocates are your obligations. AdvocatePilot tracks them; you pay them.

Your data

You own the data you and your advocates put into your workspace. You give us permission to host and process it to run the service, and for nothing else.

You can export advocates and rewards as CSV files at any time. After a workspace is closed, we delete its data on request, subject to the retention rules described in the privacy policy.

Fraud signals are decision support

The fraud signals we show are heuristics: they catch common patterns such as self-referrals, duplicate contacts, and suspicious timing. They will miss some bad referrals and flag some good ones. Decisions about qualifying referrals and paying rewards are yours.

Availability and support

We work to keep the service available and we fix problems quickly, but we don't promise uninterrupted service. Support response expectations differ by plan, as described on the pricing page.

Disclaimers and limits on liability

The service is provided as-is. To the extent the law allows, we disclaim implied warranties, and neither side is liable to the other for indirect, incidental, or consequential damages.

To the extent the law allows, our total liability under these terms is capped at the amount you paid us in the twelve months before the claim arose.

Ending the agreement

You can close your workspace whenever you want. We can suspend or end access for unpaid bills or for breaking these terms; where practical, we will warn you and give you a chance to fix the problem first. Sections that by their nature should survive, such as the liability limits, survive.

Changes and contact

If we change these terms, we will post the new version with a new effective date and email account owners about significant changes. Continuing to use the product after a change means you accept it.
